1. Who this applies to
This policy covers TradeKhata's website and application, used by contractor accounts ("Owners"), their staff (supervisors, accountants, field workers), and the platform administrator. It does not cover third-party sites linked from within the app (e.g. Gupshup, your bank's UPI app).
2. What we collect
- Account data — your name, email, phone, and business name at signup.
- Client data you enter — name, phone number, address, email, notes.
- Job & quotation data — trade, area/items, rates, calculated costs, photos you upload.
- Staff & labor data — staff names, phone numbers, daily wages, attendance records, advances.
- Billing data — your subscription plan and the UPI transaction ID you submit for payment confirmation. We do not process card payments and do not store card details.
- Technical data — login timestamps and basic device/browser information, for security and troubleshooting.
3. How we use it
- To run the core features you use — quotations, invoices, stock, attendance, reports.
- To send WhatsApp messages and emails only when you trigger them (e.g. "Share via WhatsApp", "Email Invoice") — we don't message your clients on our own initiative.
- To confirm subscription payments and manage your account status.
- To fix bugs and improve the product, using aggregated, non-identifying usage patterns where possible.
4. Who can see your data
Your business data is visible only to your own account's logged-in users (you and any staff you add), and to the platform administrator for support and billing purposes. Other contractor accounts on TradeKhata cannot see your clients, jobs, or numbers.
5. Third-party services we use
- WhatsApp Business API (via Gupshup) — to deliver quotation and payment messages you send. Message content is shared with this provider for delivery only.
- Email (SMTP) — to deliver quotation, invoice, and password-reset emails.
- We do not run advertising trackers or sell data to ad networks.
6. Data retention
Your data is retained for as long as your account is active. If you cancel, your data is retained for a reasonable period in case you resubscribe, then deleted on request — contact us to request deletion.
7. Your rights
You can access, correct, or export your business/client data at any time from within the app. To request permanent deletion of your account and associated data, email us using the address below.
8. Security
Passwords are stored hashed, never in plain text. Access to your account requires your login credentials; staff and field-worker logins are scoped to only what their role needs.
9. Changes to this policy
If this policy changes materially, we'll note the updated date at the top of this page. Continued use of TradeKhata after an update means you accept the revised policy.
